Elevate Surgical Co. proudly represents Arthrex products and surgical techniques in San Diego and Hawaii. We are seeking an Office Manager/HR Admin to join our team in San Diego, CA.

The ideal candidate must be experienced in handling a wide range of administrative, HR, and executive-support related tasks and will be able to work independently. This person must be highly organized, flexible and enjoy the administrative challenges of supporting an organization in a fast-paced environment. Their primary responsibility is to support internal operations at the office as well as all human resource activity throughout the company.

 

Key Responsibilities

  • Handle office tasks, such as filing, printing, collecting and distributing mail, ordering food for meetings, restocking snacks, and reordering supplies.
  • Be the face of ImpactOrtho! You will greet and direct visitors, give interview tours, answer phones, and handle any inquiries.
  • Manage professional and personal scheduling for executives, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
  • Manage, coordinate, and arrange executives' travel and travel-related activities, including hotel booking, transportation, and meal coordination
  • Participate actively in the planning and execution of company events
  • Assist Manager in all hiring needs of the company, including initial screening, scheduling interviews, liaising with hiring managers and facilitating offer letters
  • Assist with the onboarding and offboarding of employees by entering new hire information in our HR database, collecting and tracking new hire forms, establishing personnel files, preparing exit documents and entering status changes in the HR database
  • Set up new hires with credentialing accounts, review current sales reps credentialing files and work with them to obtain missing, incomplete, and expiring items.
  • Perform routine tasks required to administer and execute human resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management, and training and development.
  • Ensure the salesforce and agency personnel have access to any and all ImpactOrtho/Arthrex resources needed to maximize customer interactions.
  • Manages website communications – internal websites and social media sites. Perform leadership messaging through e-mail, word documents, PowerPoint, signage and videos.
  • Review and process all reimbursements and submit any spend on HCPs to the government.
  • Gather and produce any reports needed for the CFO for budgets, payroll, insurance, etc.
  • Serve as a liaison between executive management and employees by handling questions concerning policies, contracts, payroll, credentials, IT, and travel.
  • Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time.

Requirements

  • Bachelor's Degree Required or equal experience
  • Minimum of 2-4 Years General Human Resources or Office Management Experience
  • Strong organizational skills with the ability to multi-task
  • Excellent interpersonal and communication skills
  • Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal.
  • Available to be on call at night/weekends to adjust itineraries and travel details.
  • Must be a team player, reliable, and able to communicate and collaborate
  • Be adaptable and flexible to constantly changing schedules
