Description

High volume Medical distributorship is seeking an Office Manager for the New York, NY office. We are looking for the right individual to organize and coordinate office operations and procedures, in order to ensure organizational effectiveness, efficiency and safety. The ideal candidate must be experienced in handling a wide range of administrative and executive-support related tasks and will be able to work independently. This person must be highly organized, flexible and enjoy the administrative challenges of supporting an office of diverse people in a fast-paced environment. To accomplish this goal, the Office Manager will work closely with other Office Managers, Finance, Inventory and Warehouse, VP of Operations, and President of company to maintain policies and procedures.

Responsibilites: 

  • Monitor and manage sales rep and office flow to ensure compliance, adherence to schedule and satisfaction
  • Fulfill requests in a timely manner
  • Perform data entry and processing
  • Monitor and manage asset management and schedules
  • Manage inventory and ordering of supplies
  • Other duties as directed by upper management
  • Ability to delegate authority, responsibility to other staff personnel as deemed necessary to perform their assigned duties
  • Ability to handle information in a confidential manner. Represent the company in a professional manner to all employees, clients and customers

Requirements

Requirements:

  • Proven office management or administrative experience. Prior medical experience helpful 
  • Excellent time-management skills and the ability to multi-talk and prioritize work
  • Excellent customer service skills
  • Computer skills (Outlook, Excel, Word, email and PM/EMR)
  • Highly organized and able to work calmly under pressure
  • Able to work in a fast-paced, deadline-oriented environment
  • Ability to foster and maintain an open, supportive and excellence-based corporate culture
  • Working knowledge of front desk, revenue cycle, basic clinical tasks
  • Skilled in planning, organizing, and supervising
  • Able to exercise initiative, judgment, problem-solving, and decision-making
  • Skilled in developing and maintaining effective relationships with medical and administrative staff, patients, and the public
  • Ability to communicate effectively by email, phone and text.
